A free job budget tracker for Excel

Budget a job by phase and task, in hours, in money or both, and keep track of what has been booked against it. Remaining and used work themselves out, and anything past its budget is marked Over.

Download the template

An Excel file, about 12 KB. No sign-up, and no email address needed.

It opens in Excel, Google Sheets and LibreOffice Calc. There are no macros.

What is in it

  • Budget hours and budget value per task, with the phase it belongs to.
  • Hours booked and value booked, with remaining and used worked out for you.
  • Over, Near (80% or more) and OK on every row, and nothing shown where nobody set a budget.
  • The sum of the lines beside what the job was quoted at, and the gap between them.
  • A second sheet saying how to fill it in.

Thank you. You are on the list, and every email says how to come off it.

When a spreadsheet stops being enough

The tracker needs the booked hours typed in. ReliTime takes them from the timesheets people actually submit, per phase and task, prices them at the rate in force on the day, and warns when a job nears its budget.

Questions people ask

Is the job budget tracker free?

Yes. Download it and use it as you like, with no sign-up and no email address needed.

Does it work in Google Sheets or LibreOffice?

Yes. Every figure is an ordinary formula with no macros, so it opens in Excel, Google Sheets and LibreOffice Calc and works in each.

Why does a row with no budget show nothing rather than 0%?

Because "nobody estimated this" and "nothing has been spent" are different things, and a sheet that shows both as 0% hides the first. The planned total is withheld for the same reason until every line has a budget.

Why is the plan shown beside the quote instead of replacing it?

A job is sold before its phases are planned, so what was quoted and what you intend to spend are two different numbers. The gap between them is worth seeing on the day the job is planned.
